Keep the search specific
For a meeting handout, search for the exact deadline instead of a common word such as date. The tool highlights all matches on the selected pages, so a broad search can produce more marks than intended. Check headings, footnotes and repeated table entries as well as the main paragraph. Restricting the page range helps keep the review focused.
Check whether the PDF contains text
A photograph of a page may look readable while containing no searchable text. If a phrase cannot be found, first check its spelling and whether you can select the words in the PDF. Image-only scans need OCR before text-based highlighting. Recognition can introduce mistakes, particularly in small print or faint scans, so inspect the recognized wording before relying on the matches.
Frequently asked questions
Does highlighting change or remove the words?
No. It adds a yellow highlight annotation while leaving the wording in place. Use text editing to change the wording or redaction to remove selected information.
Can I mark only one part of a long document?
Yes. Enter a page selection such as 1,3-5. These are the PDF's page positions, which may differ from the numbers printed on the pages.
